Me, as Audio Production Administrator / Studio Manager. Books are selected for recording by our Collections department and sent to me in the studio for prepping for recording. I use the script developed with NLS by my predecessors pre-2003 but updated as things have changed.
* Who selects the subjects?
I assume you mean the subjects field in the meta data of the DTB filled out in HABC via File > Session Properties > Info (see screenshot below). Our Collections staff manage all bibliographic / cataloging record keeping so I just consult the subjects as they have entered them while also comparing them against the printed copy. I or my staff – whomever sets up the nav project in HABC – retype that information from WebReads into the HABC project.

* Who submits the intention notices, and completion forms?

* Who does the catalog records, or do you wait for the DBC load?
Our Collections staff handle that.
We don’t record in HABC. Once primary recording, review and all corrections are complete, my staff perform post-production mastering and then I and staff setup the project for navigational mark-up in HABC. Staff then proceed with applying nav marks. Finally, staff perform Quality Control reviews on each other’s markup work, then I perform a final QC review and export, encrypt, perform playback QC in the DTBM player, then zip the encrypted book files and upload to BARD. Once the upload has been successfully completed I alert Collections staff that the book is complete. Collections staff then submit completion notices to NLS BCS. I watch the Network-Produced Materials > Awaiting approval area on BARD and once the book posts there I review that BARD entry, comparing it to the Voyager entry, make notes of any discrepancies in those bib-records and send those along to Collections. I also download and QC the book from BARD in my DTBM player and, assuming none of the discrepancies in the bib-records are truly egregious, I approve the upload making it public.

Here at BTBL in Sacramento, we have a studio tech that preps most of the book with our narration teams, and does the markup. We have a librarian that works with the studio tech to come up with Book Announcements for each book, including the annotation. The annotation is proofread over email by a small group of staff before being finalized. The announcements are printed and stored with the book. Finally, we have a Reader Advisor (me) that does the final QA for the book—checking markup, checking the properties, selecting the subjects, submitting the completion forms, editing the Voyager record, and finally posting to BARD and approving the post. By far, the biggest delay is waiting for the BCS to post the Voyager record (this can take several weeks). Having one person handle the QA side of things means consistency in the work and accuracy. Attached is the final checklist I go through with QA for each book and the HABC properties example. Hope anything helps!

How does your studio handle the paperwork side of things for your locally produced books?

* Who does the catalog records, or do you wait for the DBC load?
I am streamlining the format here, we have standard forms for the Book Info Summary, the standard announcement NLS template, and a map of the fields in Hindenberg.
I am making it more of a straight line from start to finish as possible, and it seems one person can handle the bulk of it, the editor, the one who processes the book after it comes out of the studio.
